Job Description:

This position will serve the city of Waterloo in [Black Hawk County and surrounding areas in Iowa; travel is expected.

Services Essential Functions and Responsibilities

  • Respond to all phone calls, emails, and other communication in a professional manner and within 24 hours of receipt. Providing support to the Family Support Specialist, Intervention Specialist, Facilitator Behavioral Health Specialist and Therapist and other colleagues in a professional manner
  • Oversee, maintain, and manage documentation and reports related to varying program services for the Agency
  • Maintains workflow with job duties assigned and assist in developing reporting procedures
  • Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and personnel requirements, implementing changes
  • Coordination and preparation of data reporting as assigned
  • Attends and participates in meetings as required by your supervisor
  • Participates as a team member of Families First demonstrating willingness to assist others, assertive when tasks are completed in offering others assistance
  • Assure discreet and confidential handling/processing of all agency information
  • Demonstrates a sensitivity to service populations’, culture, and diversity
  • Perform other duties as assigned
  • Oversee, maintain, and manage referrals and intakes and quality assurance for the Family Centered Services and FTDM/YTDM/CSC services
  • Reads each referral to ensure accurate information seeking clarification when needed
  • Performs client database, Jarvis and TheraManager data entry and updates
  • Perform, maintain, and manage agency numbers and month end reporting
  • Prepares discharged cases for closing and filing
  • Maintain and manage subcontract request submitted by Supervisors and external agencies

Education/Training:  High School Diploma or equivalent is required.   Accreditation from a business or technical college or university with emphasis in administration, secretarial, finance, record keeping child welfare, human services, criminology or a closely related field is preferred; and

Work Experience:  Two (2) years’ work in related field; or

An equivalent combination of education, training and experience that provides the knowledge, skills and abilities necessary to perform the essential functions of the position.

Required licenses, registrations and certifications:  Possession of a valid State of Iowa Driver’s license.
